Trigger recipes: four common setups, step by step

Each recipe solves one real problem from start to finish: the trigger, the skills, and a line for the instructions. The examples use Brightway, a service business that answers calls and WhatsApp, follows up leads and books appointments.

Find it: Sidebar → Agents → open an agent → Triggers

Before every recipe

  • Save the agent once, so you can add triggers.
  • Add triggers while the agent is a Draft, then test with Try it live, then Publish.
  • Turn on at least one Messages skill. You can't publish without one.

Recipe 1: Call every new lead within 5 minutes

The problem: leads from ads and the website wait hours for a call, and many go cold.

Why this setup: Place a call on a schedule every 5 minutes picks up new leads quickly. The Call result filter makes sure each lead is called once.

  1. Open your calling agent → Triggers → Add trigger → Place a call on a schedule → Enable. You'll see: the trigger opens with a daily schedule.
  2. Set Schedule kind to Every N minutes / hours / days, and Every to 5 minutes.
  3. Pick your From number.
  4. Under Target audience (optional), add two rules with Match ALL:
    • Stage equals "New lead"
    • Call result is empty You'll see: the summary reads "Every 5 minutes · from selected number", followed by your filter.
  5. In Skills, turn on Talk to a human, Update contact information and End the phone call. Click Save.
  6. Add to the instructions: "Introduce yourself from Brightway. Ask what service they need and a good time to visit. If they want a person, use Talk to a human."

Good to know: calls only go out in your working hours (Sidebar → Settings → Working hours). Leads that arrive at night are called when you open. For retries and a WhatsApp after a missed call, use Campaigns.

Recipe 2: WhatsApp a customer 1 day before their appointment

The problem: customers forget appointments. No-shows waste a whole slot.

Why this setup: Before or after a contact date works out each person's own reminder time from the date on their contact.

Before you start: have a date field such as "Appointment date" (Sidebar → Settings → Custom fields), and an approved WhatsApp reminder template.

  1. Open your reminder agent → Triggers → Add trigger → Before or after a contact date → Enable.
  2. Set Date field to "Appointment date".
  3. Set Fire to 1 days before the date, and At time to 18:00.
  4. Under Limit to contacts (optional), add Stage equals "Booked", so cancelled appointments get nothing. You'll see: "1 day(s) before Appointment date at 18:00", followed by your filter.
  5. In Skills, turn on Send WhatsApp template, Send WhatsApp message (for replies), and Update contact information. Click Save.
  6. Add to the instructions: "Remind the customer of tomorrow's appointment with the reminder template. If they want to change it, offer two new times and save the new date."

Variations: a hotel uses "Check-in date" at 11:00; a lender uses "EMI due date", on the day of, at 10:00; a school uses "Fee due date", 3 days before.

Recipe 3: Reply the moment a website form is filled (webhook)

The problem: a customer fills your website form at 9 pm and hears nothing until morning.

Why this setup: the form tool calls Voxido's webhook the moment the form is sent, so the agent replies in seconds.

  1. Open your agent → Triggers → Add trigger → When an external system notifies us. You'll see: Webhook URL and Signing secret.
  2. Copy the webhook URL. Click Generate, then Copy the secret.
  3. In Zapier or n8n: on "new form entry", build a JSON body with phone and name, sign it with the secret (HMAC-SHA256, hex), and POST it to the URL with the header X-Voxido-Signature.
  4. In Skills, turn on Send WhatsApp template. Click Save.
  5. Add to the instructions: "When started by a website enquiry, greet the person by name with the welcome template and ask what they need."
  6. Publish the agent and submit a test form. You'll see: the trigger shows "Authenticated webhook (secret set)" and your phone gets the WhatsApp.

Details: Webhook trigger.

Recipe 4: Answer every WhatsApp, and send fee questions to a fees agent

The problem: a school gets dozens of WhatsApp messages a day. Most are general, but fee questions need exact, careful answers.

Why this setup: two inbound triggers on the same number. The one with Keywords is more specific, so it wins for fee questions.

  1. Front office agent: add When a customer messages on WhatsApp, pick the school's number, leave everything else empty. You'll see: "On selected WhatsApp number".
  2. Fees agent: add When a customer messages on WhatsApp, pick the same number, and type Keywords fees, fee, payment, due. You'll see: "On selected WhatsApp number (keywords: fees, fee, payment, due)".
  3. Link a "Fee structure" knowledge base to the fees agent in its Knowledge section, and turn on Search knowledge base and Talk to a human.
  4. Click Save on both agents and publish them.
  5. Test from your phone: "What time does school start?" and "When are the fees due?" You'll see: the first goes to the front office agent, the second to the fees agent.

Keywords match inside words: "fee" also matches "feedback". Pick words carefully.
