Daily attendance check-ins: skip people who are off today
People get sick, swap shifts or take a day off without booking leave. A daily check-in asks each person on WhatsApp, at the start of their shift: are you available today? If they say no, or don't reply, Voxido skips them for the day.
Find it: Sidebar → Settings → People → ⋯ on a person → Edit → Working hours → Ask "Available today?" on WhatsAppWho can use it: Owners and Admins
Should I use it?
| If… | Then… |
|---|---|
| Your staff work fixed shifts and sometimes don't turn up | Turn it on. Nobody gets paged on a day they're not working. |
| Your staff always book leave in Voxido | You don't need it. Leave already stops calls and alerts. See Your status and leave. |
| Someone has no fixed shift | It can't be used. The check-in is sent at shift start. |
| Someone doesn't use WhatsApp | It can't be used. There's no SMS or email version. |
Examples: a salon with stylists on rotating days, a delivery team, a clinic with visiting doctors, a hotel housekeeping team.
Turn it on for a person
- Open Settings → People, and click ⋯ → Edit on the person. You'll see: the Edit person dialog.
- Under Calls and alerts, check that Mobile (WhatsApp) has a number, and tick WhatsApp under Send alerts by.
- Under Working hours, pick the Working days, and set Shift starts and Shift ends.
- Switch on Ask "Available today?" on WhatsApp. You'll see: the hint "Sent at shift start on working days. No reply means not available for the day."
- Click Save changes. You'll see: "Person updated".
If something is missing, saving tells you:
- "The check-in is sent at shift start. Set a shift first."
- "The check-in goes out on WhatsApp. Turn on WhatsApp alerts and add a mobile number."
A check-in set up before shifts existed keeps its old schedule. The dialog says "This check-in still uses its old schedule. Set a shift to send it at the shift start instead."
What happens each working day
At the start of the person's shift (in your company time zone), Voxido sends a WhatsApp message asking if they're available.
| They reply | Result | They get back |
|---|---|---|
| Available | They stay in today's calls and alerts. | "✅ Marked available for today — you'll receive alerts as usual." |
| Not available | They're skipped for the rest of the day. | "👍 Marked unavailable for today — alerts will route to others." |
| No reply | Same as Not available. | Nothing |
| Anything else | Nothing changes yet. | 'Reply "Available" or "Not available" to set today's status.' |
If the message couldn't be sent at all, the person counts as available.
What "skipped" means
For the rest of that day, a person who is not available:
- Gets no team alerts on WhatsApp, SMS or email.
- While call routing is on, isn't assigned new Team inbox requests and isn't rung for calls. Their status shows Not available today.
They still show in their team.
How the check runs
Voxido looks for due check-ins every 5 minutes, for accounts with WhatsApp connected. Each person gets at most one check-in a day. If sending fails, Voxido tries again, up to 3 times.
If everyone in a team says no
If everyone in a team is unavailable, a company-wide fallback WhatsApp number can get the alert instead. You can't set this number in the app. To set or change it, write to info@voxido.ai. Without one, nobody is alerted, but the request still shows in the Team inbox.
Common problems
The check-in never arrives. Check the person's number, that WhatsApp is ticked, and that today is one of their working days. It's sent as an approved WhatsApp template. If it still doesn't arrive, write to info@voxido.ai.
Someone replied late and missed calls. No reply counts as not available until they reply. Ask them to reply Available as soon as the message comes.
