Team alerts: choose how each person hears about a request

When a request lands in the Team inbox, Voxido alerts the team. Each person chooses how: In-app, WhatsApp, SMS or Email. Set this up well, and nobody misses a customer.

Find it: Sidebar → Settings → People → Add person (or ⋯ → Edit) → Calls and alerts → Send alerts byWho can use it: Owners and Admins

WhatsApp and SMS use the same number. Type it with the country code, for example +91 98765 43210. Without a number, saving says "Add a mobile number for WhatsApp or SMS alerts". Without an email, "Add an email for email alerts".

The Alerts column in People shows each person's channels: App, WA, SMS, Email, or No alerts.

Set it up

  1. Open Settings → People, and click Add person (or ⋯ → Edit).
  2. Fill in Mobile (WhatsApp) and Email for the channels you'll use.
  3. Under Send alerts by, click the channels to tick them. You'll see: the ticked ones highlighted, and a note like "Your AI agents can alert Priya about requests in every workspace."
  4. Click Add person (or Save changes). You'll see: "Person added" (or "Person updated"). Fix any message under a field first.

Who gets alerted, and when

  • The whole team. A new request alerts everyone in its team who covers that workspace, on the channels each person ticked.
  • Except people on leave, and people who said no (or didn't reply) to today's check-in. People who are Away or off shift still get team alerts.
  • The assignee. When someone assigns or transfers a request to a person, that person gets a WhatsApp alert too.
  • Any time of day. Team alerts have no quiet hours. Use leave and the daily check-in to keep alerts away from people who are off.
  • The AI can choose. Your AI agent can ask for fewer channels for a small request. Otherwise it uses all four.

Voxido doesn't send phone push notifications. For call alerts in your browser, see Answer calls in your browser.

Common problems

Someone doesn't get WhatsApp alerts. Check their number and that WhatsApp is ticked. Check they aren't on leave, and didn't say no to today's check-in. WhatsApp only lets a business message someone freely within 24 hours of their last message; after that, Voxido sends the alert as an approved template.

Alerts wake people up at night. Team alerts have no quiet hours. Book leave, or turn on the daily check-in. Shifts stop calls and new assignments, but not team alerts. You can also tell your agent, in its instructions, to alert a separate night team after hours, for example "After 9 pm, notify the Night desk team."
