"Why are bookings down?"
The problem: Brightway booked 40 appointments last month and 28 this month.
Why it happens: fewer people got in touch, fewer became real leads, fewer said yes, or calls went unanswered. Each has a different fix.
How to find out:
- Open Overview. Set Period to Last 30 days. You'll see: each headline compared with the 30 days before.
- Look at Qualified leads and the "of N enquiries" line under it. You'll see: whether fewer people got in touch (enquiries down) or fewer turned into leads (enquiries flat, leads down).
- Read From enquiry to payment under Your AI agents. You'll see: the step where most people drop out.
- Check Missed calls and Answered by your team. You'll see: if calls passed to your team went unanswered.
- Open Intelligence → Topics & sentiment. Click the biggest topic. You'll see: the real conversations behind it, so you can read what people asked.
What to do next:
| What you found | Likely cause | Fix |
|---|---|---|
| Enquiries are down | Fewer people are reaching you | Check your ads, listings and phone number. Try a campaign to past customers. |
| Enquiries flat, qualified leads down | The agent isn't qualifying well, or people ask things it can't answer | Intelligence → Questions your agents couldn't answer. Add the answers to Knowledge. |
| Leads flat, wins down | People drop at price or availability | Read conversations on the price topic. A competitor action item may name who you're losing to. |
| Missed calls up | Your team isn't picking up passed calls | Overview → Missed calls · follow-ups, then check who gets them in Call routing. |
Examples from other businesses:
- A clinic sees enquiries flat but confirmed appointments down. Intelligence shows "Negative sentiment up on 'doctor availability'". Fix: tell the agent which doctors are free on which days.
- A coaching centre sees enquiries down in June. That's the holiday season. Compare with Last month instead of reacting.
- A real-estate team sees site visits steady but token payments down. The funnel shows the drop after qualifying. They read the conversations and find buyers asking about a loan offer the agent didn't know.
"Which agent needs coaching?"
The problem: you run several AI agents and don't know which one is weakest.
How to find out:
- Open Overview → Agent performance. You'll see: each agent's conversations (Convos), revenue and conversion rate (Conv.).
- Note the agent with many conversations but low Conv.
- Open Intelligence. In the Agent filter, pick that agent. Open Topics & sentiment. You'll see: the Quality checklist: the share of calls that passed each point, like Confirmed details or Handled objection.
- Click a point with a low share. You'll see: the conversations where the agent missed it.
- Open Action items. Look for "Agent rarely …" items. You'll see: a Fix it button that adds one instruction to the agent. See Intelligence action items.
Good / Better / Best:
- Good: fix the instruction with Fix it, then watch the next week's checklist.
- Better: also read three failed conversations in Agent activity so you understand why.
- Best: test the change with Try it live before real customers hear it. See Fixing a misbehaving agent.
"Which person on my team needs help?"
- Open Overview → Your team → Missed calls · follow-ups. You'll see: each person's missed calls and callbacks still due. A red icon means work is waiting.
- Compare with Answered calls per person. You'll see: who picks up the most calls.
- Click Open Team calls for every call, minute by minute.
A loan-recovery team uses this to spot an agent with many missed callbacks on "promise to pay" customers. Those are the calls most likely to bring money in.
"What do customers complain about most?"
- Open Intelligence → Topics & sentiment. You'll see: What guests called about (topics with counts) and the Sentiment split.
- Click Negative in Sentiment. You'll see: the conversations that ended negatively.
- Check Action items for "Negative sentiment up on '…'".
A restaurant finds "delivery time" as the top negative topic. A salon finds "rescheduling" complaints. For public reviews on Google, use Reputation.
"Are we losing people after hours?"
- Open Overview → Busiest hours. You'll see: the share of conversations in each part of the day. A night row appears when people got in touch at night.
- Check Handled by AI alone. A high share means the AI covers those hours well.
- Check Missed calls. If calls passed to people at night are missed, change who gets them in Call routing.
"Is the AI worth the money?"
- Open Overview → Cost and return. You'll see: Total cost, Cost per conversation, Revenue per conversation and Return on spend.
- Return on spend of "8×" means every ₹1 spent brought ₹8 of revenue won.
- If it shows "—", revenue isn't set up yet. Follow Revenue & outcomes.
Handled by AI alone tells the other half: how much work the AI took off your team.
