Upload documents to a library

Upload your price lists, brochures, policies and FAQs, and your agents can answer from them. Voxido reads each file, splits it into small pieces, and indexes them for search.

Find it: Sidebar → Knowledge → pick a library → Files tab → Upload files

Which format should I use?

FormatWorks?Tip
PDF with real text (you can select words)YesMost common.
Word .docxYesGood for policies and FAQs.
Excel .xlsxYesEvery sheet is read. Each becomes a labelled section.
CSVYesGood for price lists: one row per item.
Text .txt, Markdown .md, .json, .html, .htmYesMarkdown headings (#, ##) help the agent find sections.
Old formats .doc, .xls, .rtf, .odtNoThey upload, then show Error. Save as .docx, .xlsx or .csv first.
Scanned PDF (a photo of a page)NoNo text to read. Use a text copy, or Add text in the agent.

Best: short, clear documents, one topic each. "Brightway — Services & Prices" and "Brightway — Cancellation policy" work better than one 80-page manual.

Upload files

  1. Go to Sidebar → Knowledge and pick the library in the Library picker. You'll see: the Files tab with that library's documents.
  2. Click Upload files (top right), or drag files onto Drop files here or browse at the bottom of the list. You'll see: your file picker.
  3. Choose up to 5 files, each 50 MB or smaller. You'll see: an upload list with progress, then "Uploaded — N files added. Indexing…".
  4. Wait for each file to show Indexed. You'll see: the status pill change from Processing to Indexed. You don't need to stay on the page.

Uploading files to a library

If Upload files is greyed out, the library is read-only (it syncs from a Google Sheet or a property system), or you haven't created a library yet.

You can also upload from inside an agent: Knowledge → expand a library → Add file. See Agent Knowledge.

Limits

LimitValueWhat happens if you go over
Files per upload5"Too many files — You can upload up to 5 files at once." Nothing uploads.
File size50 MBThat file fails with "File exceeds 50 MB limit".
Text per documentAbout 10 MB of textThe rest is cut off and not searched.

After you upload

StatusMeaningWhat to do
ProcessingBeing read and indexed. Agents can use it once this finishes.Wait a minute.
IndexedRead and indexed. Agents answer from it.Nothing.
ErrorCouldn't be read, so agents can't use it.Click Retry, or upload a text copy.

More: Document status.

Click a file to see what agents read. For PDFs, a Text agents read tab shows the extracted text. If it looks garbled or empty, that's what the agent sees too.

Common problems

My file shows Error. It's an old format, a scanned image, or empty. Convert it (see the table above) and upload again.

I uploaded 6 files and nothing happened. The limit is 5 per upload. Upload in two goes.

The agent still doesn't know what's in my file. Check the file is Indexed and the library is switched on for the agent. See Troubleshooting.
