Managing your team: roles, access and logins

After someone joins, you can change their role, choose which workspaces they see, or stop their login. All of this happens in the People list.

Find it: Sidebar → Settings → PeopleWho can use it: Owners and Admins. (Managers can open People too, but only to set status and leave.)

For the people side (teams, calls and alerts), see People and teams.

Read the Voxido login column

Each row shows the person's login:

You seeIt means
Owner, Admin, Manager or MemberTheir role. It's a dropdown if you're allowed to change it.
InvitedThey haven't accepted the invite yet.
SuspendedThey have a login but can't sign in right now.
No loginThey get alerts or calls, but never sign in.

Change someone's role

  1. In the Voxido login column, click their role. You'll see: a list of the roles you may give.
  2. Pick the new role. You'll see: "Role updated", for example "ravi@brightway.com is now Manager."

Who can change whose role:

Your roleYou can setOn whom
OwnerMember, Manager or AdminAnyone except the Owner
AdminMember or ManagerOnly Members and Managers

An Admin can't change another Admin. Nobody can change the Owner's role here.

Choose which workspaces someone sees

Only Members and Managers can be limited. Owners and Admins always see every workspace.

  1. Click ⋯ on their row → Workspace access. You'll see: "Choose which workspaces their email can access."
  2. Keep All workspaces on, or turn it off and tick the workspaces they may open.
  3. Click Save access. You'll see: "Workspace access updated".

A person's workspaces in People and their login's workspace access stay in step: change one and the other follows.

Stop someone from signing in

The problem: "Ravi is going on leave for a month." Or: "Meera left the company."

Pick the action that matches.

TIP

Suspending or removing a login doesn't stop alerts or calls to their mobile. Use Mark inactive for that, too. See People and teams.

Remove a login

  1. Click ⋯ on their row → Remove login. You'll see: Remove Voxido login?, "their email can no longer sign in. You can invite them again later."
  2. Click Remove login. You'll see: "Login removed".

Owners never show these controls. Only an Owner can suspend, restore or remove an Admin's login.

WARNING

There's always at least one Owner. Voxido blocks anything that would leave the account with no Owner.

Pending invites

An invite waiting for an answer shows as an Invited row. Click ⋯ for Resend invite (a fresh link, valid 7 more days) or Cancel invite. See Inviting a teammate.

Common problems

The role is plain text, not a dropdown. You're not allowed to change that person's role. For example, an Admin can't change another Admin.

I can't limit an Admin to one workspace. Owners and Admins always see every workspace. Make them a Manager first if they should see only one.

"Select at least one workspace, or choose All workspaces." You turned off All workspaces without ticking any. Tick at least one.
