Customize your Contacts table
Everyone works differently. A front desk wants phone numbers and call status. A sales lead wants owner, stage and budget. You arrange the table from its own column headers, the way you would in a spreadsheet: drag a header to move it, use + to add a column, and the ⋯ menu for everything else.
Find it: Sidebar → Contacts, then the table's column headers

Move a column
- Point at a column header and drag it left or right. You'll see: the header follow your pointer, and a dark line where it will land.
- Let go. You'll see: the column in its new place. It saves on its own.
A plain click on a header still sorts. Name always stays first, and the tick-box column can't move.
Prefer the keyboard? Open the header's ⋯ menu and pick Move column to first position, Move column left, Move column right or Move column to last position.
Add a column
- Point at the line between two column headers. You'll see: a small + at the top of the line.
- Click +. You'll see: every column, with a tick next to the ones already in your table. Type in Find a column… to search.
- Tick a column. You'll see: it appear right where you clicked. The list stays open, so you can tick more.
The header's ⋯ menu has the same list under Add column left and Add column right.
Remove a column
Open the header's ⋯ menu → Remove column. You can also untick it in the + list.
The column only leaves your table. The data stays on every contact, and other people's tables don't change. Name can't be removed.
The ⋯ menu on a column header
Point at a header to see its ⋯ button.
| Item | What it does |
|---|---|
| Two sort items | Worded for the column: Sort A to Z and Sort Z to A for text, Sort oldest first and Sort newest first for dates, Sort low to high and Sort high to low for numbers, Sort in pipeline order and Sort in reverse pipeline order for Stage. |
| Move column to first position, Move column left, Move column right, Move column to last position | Moves it, like dragging. A move that's not possible, such as left from the first place, is greyed out. |
| Add column left, Add column right | The list of columns, to add one on that side. |
| Remove column | Takes it out of your table. |
Backup owner and Reporter can't be sorted, so they have no sort items.
Your columns are saved in this browser, for this workspace. On another computer, you start from your team's layout (see below), or the default columns if your team hasn't saved one.
If your plan doesn't include table settings, the ⋯ menu only sorts, and there is no + between headers.
Table settings: row height, stages and the team layout
The Table settings button (the sliders, right of the search box) holds:
| Item | What it changes | Saved for |
|---|---|---|
| Density: Comfortable, Standard, Compact | How tall each row is. Compact fits the most rows. | You, in this browser |
| Stages | Your stages: add, reorder, delete. See Contact stages. | Everyone in the workspace |
| Save layout for everyone… | Makes your current columns the team layout. Owners and Admins only. | Everyone in the workspace, or in all workspaces |
| Reset to team layout | Throws away your own column changes and goes back to the team layout. Shows only when yours is different. | You |
In All workspaces or a group, Stages is greyed out: "Open one workspace to change its stages."
Save a column layout for the whole team
Owners and Admins can set the columns everyone starts with. For example, a hotel front desk wants Check-in, Room and Owner up front for every receptionist, and a sales team wants Budget and Call back on next to the name.
- Arrange the columns the way the team should see them: drag, add and remove. You'll see: the first time you change a column in a session, a message "Columns changed for you." with a Save for everyone button. You can click it, or carry on.
- Open Table settings → Save layout for everyone… (or click Save for everyone in that message). You'll see: Save this layout for everyone, with This workspace (and its name) or All workspaces. In All workspaces or a group, only All workspaces is offered.
- Pick where it applies, then click Save for everyone. You'll see: "Saved for everyone in Brightway" (or "in all workspaces").
The team layout replaces everyone's columns, including ones people arranged themselves. Anyone can still change their own afterwards. Whatever was saved last wins: a later team layout replaces people's own again, and a later change of your own replaces the team layout for you. To go back to the team layout, use Table settings → Reset to team layout.
A team layout is saved for your company, so it follows people to every computer. Density and sorting stay personal.

Every custom field can be a column too. A new custom field starts as a column; remove it if you don't need it.
Hover over a name, email, phone or line to show a copy button.
Hide a field for everyone
Removing a column only changes your own table. To take a field off everyone's forms, filters, table and contact panel, hide it in Settings → Custom fields. See Hide a field without deleting it.
Sort the list
Click a column heading to sort by it. Click again to reverse. A third click turns sorting off. An arrow shows the direction. The header's ⋯ menu has the same two sorts, worded for the column.
- With no sort, the latest activity comes first: the latest edit, call or message.
- Stage sorts in your pipeline order.
- Owner sorts by name. Contacts with no owner always come last.
- Call back on puts the soonest first. Contacts with no call back come last.
- Backup owner and Reporter can't be sorted.
- Number and money fields sort by value, so 25 comes before 100. Date fields sort by date. Other custom fields sort as text.
- Contacts with an empty value come last, whichever way you sort.
Your sort is saved in this browser for this workspace, and survives a refresh.
Search
Type in Search contacts... (or press /). It looks in names, emails, phone numbers, notes, custom field values, tags and associated numbers. To find people by a rule, such as "budget over 5,000", use Filters. See Segments and filters.
Common problems
A custom field isn't in the + list. It's hidden, for everyone or in this workspace. Switch it back in Settings → Custom fields. See Hide a field without deleting it.
I clicked a header to sort, and it moved instead. A drag starts once the pointer moves a little while the button is held. Click without moving to sort.
My column layout is gone. An Owner or Admin probably saved a team layout after you arranged yours. It replaces everyone's. Arrange your columns again; your own changes stick until the next team layout. Also check you're in the same workspace, on the same computer: your own layout is saved per browser.
