Export contacts to a CSV file
Need your contacts in Excel or Google Sheets, for a report or for another tool? Export them as a CSV file (a plain spreadsheet file any spreadsheet app opens). You can download exactly the list on your screen, or everyone.
Find it: Sidebar → Contacts → Export (top right, next to Import)
Pick what to download
| If you want… | Do this |
|---|---|
| Everyone in this workspace | Clear all filters, then click Export. |
| Only the people on your screen | Set your filters, click Export, then Download filtered records. |
| Everyone, while filters are on | Click Export, then Download all. |
Export
- Set up the list you want: a stage tab, a search, Filters, or a segment. For example, the Booked tab with Owner: Me.
- Click Export. You'll see: with no filter on, the download starts straight away. With filters on, a menu with Download filtered records and Download all.
- Pick one. You'll see: "Filtered contacts exported" or "All contacts exported", and a file called
contacts_filtered.csvorcontacts_all.csv.
Download filtered records uses everything that narrows the list: the search box, the stage tab, and every filter (Source, Workspace, Owner, Created, Updated, Segment and Advanced). Download all ignores them.
"All" means all in this workspace
Inside a workspace, both choices only include that workspace's contacts. To export every workspace together, switch to All workspaces first. See Contacts across workspaces.
What's in the file
The newest contacts come first. The columns are:
| Column | What it holds |
|---|---|
name, phone, email, notes | The basics. |
status | Active or inactive. |
tags | Tags, separated by commas. |
call_count | How many calls the contact has had. |
created_at | When the contact was added. |
Owner, Backup owner | The names of the people who look after the contact. Empty when there's nobody. |
Reporter | Who created the contact. Empty when not recorded. |
Call back on | The call back time in UTC, such as 2026-10-03T09:00:00+00:00. |
| One column per custom field | Named after the field, such as Appointment date. |
Custom fields hidden in Settings → Custom fields (for everyone, or in this workspace) are left out. Columns you removed from your own table are still exported. If a custom field has the same name as a built-in column, its header gets "(custom field)" added.
Your team members (people you message as staff, not as customers) are never in an export.
The stage isn't a column
The file has no stage column. To export by stage, click a stage tab, then Download filtered records, once per stage.
Examples
- Brightway's weekly follow-up list: the Interested tab, Created: last 7 days, then Download filtered records.
- A clinic's call-back sheet: Filters → Advanced → Call back on is not empty, then Download filtered records.
- A school's monthly backup: All workspaces, no filters, Export.
Common problems
My export has fewer people than I expected. A filter is still on. Look for chips under the toolbar and click Clear all, or pick Download all.
Dates look odd in Excel.created_at and Call back on are in a standard computer format with the time zone. Use Excel's date formatting to show them the way you like.
